DustyWings Member Guide (Quick Start + Full Workflow)

Welcome aboard. This site is built to make flying, scheduling, and accounting clean and easy. Once you follow the workflow, everything just clicks.

What This Site Does

  • Scheduling: the calendar is the source of truth for who flew and when.
  • Flight logging: tach times plus photos (and receipts if needed) create a clean record.
  • Billing/accounting: charges and credits are driven by what is scheduled and logged.
  • Member admin: agreements, account balance, payments, and useful tools in one place.

1) Getting Started (First Login)

  1. Log in and confirm you can reach your Dashboard.
  2. Check your profile info (name, email, phone) so the office can match your records.
  3. Open the Schedule and confirm you can view aircraft availability.

2) The Golden Rule

The calendar drives the accounting. If it is not scheduled correctly, it is harder to reconcile. If it is not logged correctly, it is harder to bill or credit correctly.

3) Booking Aircraft (Schedule)

  1. Open the Schedule.
  2. Find the aircraft and time you want.
  3. Create your reservation with the correct start and end time.
  4. Double-check the date and time before you fly.

Best practices: book the full time window you actually need. If plans change, update or cancel the reservation as soon as you know.

4) Flight Day Workflow (Do This Every Time)

This is the smooth-accounting checklist.

  1. Fly the reservation you scheduled.
  2. Take a photo of the starting tach.
  3. Take a photo of the ending tach.
  4. If you bought anything that needs to be tracked (fuel, etc.), keep the receipt and take a clear photo.
  5. Open the flight log/debrief for that reservation.
  6. Enter both start and stop tach values in the tach fields.
  7. Upload tach photos.
  8. Upload receipts (if any).
  9. Add notes if something unusual happened (delays, squawks, maintenance issues).
  10. Submit/save so the office/bookkeeper can review.

5) Uploads: What Good Looks Like

  • Tach photo: readable numbers, not blurry, taken straight-on when possible.
  • Receipt photo: full receipt visible, especially the total and date.
  • If you have multiple receipts, upload all of them rather than bundling into one confusing photo.

6) Account Balance & Billing

Use the Billing/Balance pages to answer: what you owe, what credits you have, and what is pending versus paid. Checking your balance regularly (especially after flights) prevents surprises.

7) Donations / Sponsorship (A Cool Feature)

Want help with flight time? You can request others to donate toward your flying. Use Request Funding to generate a secure link to share with family, friends, or sponsors.

8) When You Need Help

If something looks off, include these details when contacting the office: reservation date and time, aircraft, start and stop tach values, and whether you uploaded photos/receipts. Those details usually solve it fast.
